Inside the app

What it does out of the box

22 connected functions on one schema, spanning three permission levels. Everything below is in the template before a line of customisation.

Dashboard for Daniel

11 tasks assigned, and last week's timesheet is still unsubmitted.

My tasks

What is assigned to you, on which project, and what it is worth.

Timesheet

Weekly entry, approved by the project manager, locked once billed.

Plan

Tasks and milestones against a saved baseline, so slip is measured.

Capacity

Assigned hours against available hours, before the plan is committed.

Margin

Billable value against the cost of delivered hours, per project.

Rate cards

What each grade costs and what it bills at, per client where it differs.

Audit log

Every approval, rate change and adjustment. Retained for seven years.

Permissions

Three roles, one build

A team member logs time. A project manager owns the plan, capacity and margin. An administrator sets rates. Margin becomes visible at 40% complete, which is the only point it can still be fixed.

What you get

Delivered as a repository, not a login.

Agencies, consultancies and internal delivery teams that bill or cost by the hour.

  • 9 production functions spanning three permission levels
  • Full source code and PostgreSQL schema in your repository
  • Role-based access control, enforced server-side
  • Immutable audit log written on every change
  • Responsive layouts, usable on a phone, not just resized
  • CSV import and export on every core record
  • Deployment configuration for your cloud account
  • Twelve months of updates, and no per-seat charge ever

Access and evidence

Margin while it can still be fixed

Project margin discovered at close is a post-mortem. Cost of delivered hours against billable value, updated as time is approved, is a decision you can still act on.

  • Slip measured against a saved baseline, not last week's guess
  • Over-allocation shown before the plan is committed
  • Approved time locks once billing has run
  • Corrections after billing are adjustments with a reason, never edits
  • Unsubmitted timesheets block billing and escalate
  • Cost of delivered hours comes from the grade, not a guess
  • Role-based access control, enforced server-side
  • Immutable audit log written on every change

Questions

Project Tracker, in practical terms

Do I get the source code for Project Tracker?

Yes. The repository, application code, database schema, migrations, seed data and deployment configuration, is transferred to your organisation on delivery.

How many people can log time?

As many as you like. Per-seat pricing on a timesheet system is self-defeating: the value depends on everyone recording time, and charging per head is exactly the wrong incentive.

Why do timesheets lock after billing?

Because an editable timesheet is an invoice you cannot defend. Once time has been billed it is part of a commercial record, so corrections become adjustments with a reason attached rather than silent edits.

Does it show margin before a project finishes?

That is the point of it. Billable value against the cost of delivered hours updates as time is approved, so margin is visible at 40% complete rather than discovered at close.

Can Project Tracker be changed to match how we deliver?

That is the usual route. A fitted build sets up your project and phase structure, grades and rate cards, approval rules, utilisation targets, branding and up to two integrations.

What does it cost to run?

Hosting only, paid to your own cloud provider, roughly $50 to $200 a month.

Want Project Tracker shaped around your process?

A fitted build adjusts fields, stages, roles and integrations to how your team already works. One scoping call, a fixed price, one to three weeks.
